FAQ & Troubleshooting
Find quick answers to the most common questions about setting up and running your Mandi business in Digital Bahi.
Setup & Masters
How do I know if my business is ready to record Purchases and Sales?
Open the Setup Center from the left menu. Once the three Required steps (Business Profile, Commodities, and Charges) are complete, your status badge turns to Ready to Trade.
What if I am starting a new business and have no Opening Stock?
In the Setup Center, locate step 8 (Opening Stock) and click No Opening Stock (Not Applicable). This marks the step complete without requiring a dummy inventory entry. You can click Undo at any time if you later need to record carryover stock.
Why did State and PAN fill in automatically when I typed my GSTIN?
Digital Bahi automatically extracts the 2-digit State code and 10-character PAN embedded inside any valid 15-character Indian GSTIN on Business Profile and Buyers, and prevents saving if the State or PAN conflicts with the GSTIN.
Daily Business & Inventory
Why does Sale warn about insufficient stock?
Digital Bahi checks your real-time physical inventory before saving a Sale. If the sale quantity exceeds your available stock, a warning dialog appears so you can check whether a Purchase or Opening Stock entry was missed.
Why doesn't Arrival or Tulai increase my inventory?
An Arrival and Tulai in an Arrival record that a farmer's crop has entered the Mandi and been weighed. If the crop is auctioned to an External Buyer, it never enters your own godown stock. Stock only becomes yours when you post a Purchase (either an Arrival-Linked Purchase from a Self Purchase auction or a Manual Purchase).
Why can't I select an Income or Expense account in Payment or Receipt?
To keep your trading and expense registers clean, Payment and Receipt vouchers are restricted to Party, Farmer, Cash, Bank, and Balance Sheet/Liability accounts. To record operational expenses (like rent, salary, hamali, or electricity), use Expenses. For non-cash accounting adjustments, use a Journal Voucher.
Why is Digital Bahi blocking me from cancelling a Purchase?
A posted Purchase cannot be cancelled if its generated stock lot has already been partially or fully sold, if Mandi Tax has been recovered on it, or if an active Sale Invoice is linked to the arrival. Cancel or reverse the downstream Sale first, then cancel the Purchase.
Accounting, Reversals & GST
What do Dr and Cr mean on a Farmer vs. Buyer statement?
In the Party & Farmer Ledger, Farmer 360, and Party 360, Digital Bahi displays a clear badge next to the balance:
- For a Farmer, Credit (
Cr) means Payable to Farmer (money you owe them), while Debit (Dr) means Advance / Receivable from Farmer. - For a Buyer / Party, Debit (
Dr) means Receivable from Buyer (money they owe you), while Credit (Cr) means Advance / Payable to Buyer.
Why does a reversed voucher still appear as Posted in my register?
Digital Bahi uses an audit-safe reversal model. When you reverse a voucher, the original voucher stays Posted (preserving historical statements) and the system automatically posts a linked contra voucher ending in -REV with swapped Debit and Credit entries. See Corrections, Cancellations & Voucher Reversals.
Why doesn't Opening Stock create a financial voucher?
Opening Stock initializes your physical commodity quantities and stock lots in the Inventory module. To enter your financial ledger starting balances (including your Stock/Asset, Cash, Bank, Farmer, Party, and Capital balances), use Masters > Account Opening Balances (see Accounting Masters).
Why does GST Reconciliation require a GSTR-2B JSON file?
To run GST Reconciliation, download your monthly GSTR-2B JSON file from the government GST portal and upload it into Digital Bahi. The system automatically checks for duplicate file uploads and matches supplier invoices against your Purchases.
Users & Access
Why is a menu item or button unavailable (or showing "Ask Admin")?
Digital Bahi filters the navigation sidebar and Setup Center actions based on your assigned Role & Permissions. Contact your business Owner or Administrator if your role needs access to a specific module.
